Anna ChatBot Help

This page explains the current Anna ChatBot experience, including sign-in, license access, chat controls, exports, and the main built-in features.

Access and sign-in

Sign in with your account core

In the web version, start by signing in with Microsoft or another enabled provider before entering your license key.

Enter your license key action

After sign-in is complete, enter your client license key to unlock your chatbot session and customer database access.

Keep me signed in core

If enabled, Anna can remember the login state on that machine or browser so you do not need to sign in every time.

Web access normally requires both steps: account sign-in first, then a valid license key.

Main chatbot controls

Ask a question chat

Type your question and send it. Keep questions specific (time period + scope + expected output) for best results.

Remaining tokens core

Shows available tokens for the current language/session. If the count is empty, contact us to refill your tokens.

New chat action

Starts a fresh conversation without previous context.

Save conversation action

Saves the current conversation as a downloadable file so you can keep a copy or share it later.

Logout action

Signs you out of the current web session and returns the app to the protected login page.

Language selection and interface behavior

Language selection action

Use the EN/DE switch to change the app language. Anna updates the interface text and chatbot replies to match the selected language.

1 Select English or German in the application header.
2 All new chatbot replies follow the selected language.
3 Buttons, labels, prompts, and helper texts also switch to the same language.
4 If you switch languages later, the change applies immediately to the next action and next answer.

Reports, PDFs, and downloads

Create a PDF chat

Ask for a PDF in the same message as your question, or add a follow-up like "Create a PDF of this answer."

Create a graph chat

Request a chart or graph in the same question, or follow up after you get the data.

Download the conversation action

Use Save Conversation to generate a downloadable copy of the current chat. Anna also keeps a manual download button as fallback.

Examples: "Show sales by month for 2024 and create a PDF." "Give me a chart for the same data." "Save this conversation."

Built-in chatbot features

Full result pages core

For larger result sets, Anna can open a full result page so you can review more rows and details without losing information in the chat bubble.

Open Link and Download actions core

When Anna generates reports, result pages, PDFs, or saved conversations, matching action buttons appear directly below the answer.

Conversation context chat

Anna keeps the current chat context during the active session, so follow-up questions like "what about January" can continue the same topic.

Tip: If you see Open Link, Download, or PDF actions, use them to view the complete output instead of relying only on the chat bubble summary.

Follow-up actions

Send reminder email chat

Anna can help with reminder-email workflows for customer managers when that feature is enabled in your environment.

Example: "Send a reminder email to the managers for these customers."

Help and navigation

Help button core

Use the help button inside the chatbot to open this page whenever you want a quick refresher on the available controls and features.

Company logo link core

The company logo in the interface can open the related company or product page in your browser.

Tip: The help page is best for learning the controls. The chat itself is best for business questions and data analysis.

How to get best answers

1
Include a clear time range (year, month, last 12 months).
2
Specify scope (customer, vendor, entity, account, cost center).
3
Ask for the format you need (table, summary, chart, export).
Example: "Show outstanding amount by month for 2024 and summarize the biggest changes."
